1. What we collect
When you sign up for our rewards program at the counter or through the website, we collect:
- First and last name. So we know who you are when you show up.
- Phone number. This is your rewards account, points lookup happens with the last four digits at checkout.
- Email address (optional). Only if you want order receipts or restock alerts by email.
- Birthday (optional). If you give it to us, you get a free booster on your birthday. If you do not, you do not. We do not use the date for anything else.
- Purchase history. Tracked against your rewards account, used to calculate points and personal stock alerts.
- Communication preferences. Whether you opted in to text, email, both, or neither.
If you sign up for a paid membership tier, we additionally collect what your card processor requires (card token, billing address, card last-four). We never see or store your full card number, our payment processor handles that.
If you subscribe to the launch email list only, we collect just your email address and nothing else.
2. What we use it for
- Operating your rewards account, awarding points, redeeming for product.
- Letting you know about restocks or events you opted in to hear about.
- Sending you a birthday booster reminder if you gave us your birthday.
- Running internal reports on what sells and what does not, in anonymized aggregate.
- Communicating with you about your account, your membership, or an order.
- Complying with tax, payment, and business-records law.
3. What we do not do
- We do not sell, rent, lease, or barter your information to anyone for any reason.
- We do not share with data brokers, ad networks, social platforms, or marketing aggregators.
- We do not run cross-site retargeting ads. You will not see a Level Up Hobbies booster pack chasing you around the internet because you looked at our website once.
- We do not use your purchase history to manipulate pricing on the website or in-store. Everyone sees the same prices.
- We do not knowingly collect personal information from anyone under 13. See section 8.
4. Who we share with
The short list:
- Our payment processor (Shopify Payments / Stripe, depending on the channel). They handle card processing and have their own privacy obligations under PCI-DSS.
- Our SMS provider if you opted in to texts. They deliver the message, they do not get your purchase history or rewards balance.
- Our email provider if you opted in to emails. Same scope as above.
- Our loyalty platform (BON, Joy, or a comparable Shopify-integrated app) which stores rewards balances and member metadata.
- Tax authorities and law enforcement if a court order or other legal process compels disclosure. We will push back on overbroad requests where we can and notify you when we are legally allowed to.
We do not have an “analytics partner” or “trusted third-party advertising network.” The list above is the entire list.
5. How long we keep it
- Rewards account data: for as long as you have an active account. Accounts with no activity for 12 months may be archived and you will lose any unredeemed points (members are emailed and texted before this happens).
- Purchase history: retained for as long as required by tax and accounting law (currently up to seven years in Texas), then deleted.
- Communication preferences and unsubscribes: retained indefinitely so that we honor your opt-out even if you sign up again later under a different email.
- Card details: handled by the payment processor, never stored on our end.
6. Your rights
You can, at any time, ask us to:
- See what we have on you. Email info@leveluphobbies.com with the subject line “Data export” and we will send you a copy within 30 days.
- Correct anything that is wrong. Same email, subject “Correction.”
- Delete your account and all associated data, except for what we are legally required to retain (purchase records for tax purposes, primarily). Subject line “Delete me.”
- Stop receiving texts by replying STOP to any message from us.
- Stop receiving emails by clicking the unsubscribe link in any email we send.
- Opt out of birthday emails while still keeping your account active. Same email, subject “Birthday off.”
If you are a California resident, the rights above already cover what the CCPA grants you. If you are a Texas resident, the same. We apply these to everyone regardless of where you live, because building the infrastructure to gate it by state is not worth it for a local store.
7. Cookies and site tracking
The leveluphobbies.com website uses:
- Strictly necessary cookies for site functionality (remembering whether you have dismissed a notice, keeping you logged in if you log in to a rewards account on the site).
- A first-party analytics tool (Plausible or a comparable lightweight, no-third-party-tracking analytics service) that counts page views and referrers in aggregate. No personal data, no cross-site profile, no advertising. If we change to a tool that does more than this, we will update this policy first.
We do not use Google Analytics, Meta Pixel, TikTok Pixel, or any ad-network tracker. We do not need them to run a local game store.
8. Kids and league night
We host events that are great for kids, including Thursday Pokémon League. Kids are welcome in the store and at the table. However:
- We do not knowingly create rewards accounts for anyone under 13. Parents may sign up under their own name and add their kids’ purchases to the family account.
- If we discover we accidentally collected data from a child under 13, we will delete it.
- Tournament results and league standings for minors are posted only by first name and last initial (e.g. “Charlie M.”), never with full names, contact info, or photos without explicit parent consent.
9. Changes to this policy
We will update this policy when we add new things to the store that change what we collect (for example, adding membership tiers, adding a loyalty platform, adding email signups). When we do, the “Last updated” date at the top of this page changes. Material changes (anything that affects what we collect, share, or use it for) will also be announced in a patch-notes email to anyone on the list.
We do not believe in burying changes. If something material changes, you will hear about it.

If you email about a privacy request, please include the email address or phone number on your account so we can find it. We aim to respond within five business days for anything routine and within 30 days for data exports.
